What Your Insurer Means By Trace And Access

Trace and access is the part of a home insurance policy that pays for finding a hidden water leak, getting to it, and putting back whatever had to be opened up. It does not pay to repair the pipe that failed, and it carries its own limit written into your policy schedule rather than sitting inside the main buildings sum insured. That split catches people out constantly. A leak under a solid floor costs far more in detection, lifting and reinstatement than it does in plumbing, and the plumbing is the only part most people expected to pay for. What follows is what the cover is, what it includes and excludes, how a leak is traced, and what a report must contain to survive a claims handler reading it.

What is trace and access cover?

Trace and access is an extension to buildings insurance that covers the cost of locating the source of an escape of water and of removing and replacing whatever stands in the way of reaching it. In practice that means the leak detection survey, the lifting of floorboards, tiles, screed or plaster, and the making good afterwards. It exists because the damage caused by finding a leak is not itself accidental damage, so without the extension there is nothing in the policy to pay for a floor you deliberately took up.

It sits alongside the escape of water section rather than inside it. Escape of water deals with the damage the water did, the soaked ceiling and the ruined flooring. Trace and access deals with the investigation and the access route. Two limits, sometimes two excesses, and a claim can be accepted under one while the other is argued about.

The wording matters more than the label. Some policies call it trace and access, some call it leak detection cover, and a few bury it in the escape of water clause without naming it. Read the schedule rather than the brochure, because the schedule states the actual limit.

What trace and access typically pays for

Most policies pay for the specialist detection visit, the destructive access needed to expose the failed pipe, and the reinstatement of the surfaces removed to get to it. An engineer arriving with thermal imaging, acoustic equipment or tracer gas and producing a report locating a leak under a kitchen floor is the classic trace and access cost. So is breaking out the screed above it and relaying screed and tiles once the pipe has been mended.

Reinstatement is the part people underestimate. Lifting one tile to reach a joint sounds cheap until the tile turns out to be discontinued and the insurer is asked to match a floor across an open plan ground floor. The same applies to liquid screed over underfloor heating, where opening a section means avoiding the heating loops and bringing the floor back to a level the rest of the room can be married into.

  • Breaking out screed, tiles, boards, plaster or a bath panel
  • Moving or temporarily removing fitted units to expose pipework
  • Screeding, plastering, tiling and decorating back afterwards

What trace and access does not pay for

It does not pay to repair the pipe, fitting or appliance that failed. Almost every policy excludes mending the thing that leaked, on the basis that a worn pipe or a perished washer is maintenance rather than an insured event. The plumbing labour and the new section of pipe are yours. The floor you had to destroy to reach them is the insurer position.

It does not pay for upgrades. If the leak was on a run of old pipework and you decide to renew the whole run while the floor is open, the insurer pays for the access, not the betterment. That is worth planning around, because having the floor up is the cheapest moment you will ever get to replace pipework you already know is finished. Pay for that part knowingly rather than arguing for it.

It rarely pays where the water is not an escape of water in the policy sense. Rain through a roof, rising damp, a failed shower seal letting water past over months, condensation, and a slow weep that has clearly been running for a year are the usual grounds for a refusal. Escape of water normally means water escaping from a pipe, tank, cylinder or fixed appliance. A shower tray that has been passing water through the grout every time it is used is a maintenance problem, and a claims handler will say so.

The burst pipe repair itself is normally outside this cover as well, since trace and access pays to find the fault and to open the structure, not to remake the pipework.

The commonest gap: detection and making good are covered, the plumbing repair in the middle is not. Budget for the repair as your own cost from the start.

How much trace and access cover do you actually have?

Look on the policy schedule for a line naming trace and access, leak detection, or locating the source of an escape of water, with a figure against it. That figure is the ceiling on detection and access for any one claim and it is separate from the buildings sum insured. Plenty of policies set it low enough that a complex under floor leak in a solid floor property will exhaust it before reinstatement is finished.

Check the excess too. Some policies apply the escape of water excess to the trace and access element, some apply a separate one. If the detection work is modest and the excess is high there may be nothing worth claiming, and you are better off paying for the survey and keeping your claims history clean. If the property has solid floors, underfloor heating or buried pipework, this is one of the few insurance numbers genuinely worth raising at renewal.

How an engineer actually traces a hidden leak

The point of a detection survey is to avoid opening up the building speculatively. An engineer isolates parts of the system and narrows the problem by elimination before any equipment leaves the van. If the pressure on a sealed heating system drops with the mains isolated, the loss is on the heating side. If it holds, the loss is on the domestic water. That single test removes half the property from the search.

After isolation the tools are thermal imaging, acoustic listening and tracer gas. Thermal imaging reads temperature difference through a floor and is very effective on a hot water or heating leak under screed, because warm water spreading through the substrate shows as a plume. Acoustic equipment listens for the noise a pressurised leak makes at the point of escape, which works well on mains pressure pipework and badly on a gravity fed dribble. Tracer gas, normally a hydrogen and nitrogen mix, is introduced into a drained section and detected where it surfaces, and it finds the leaks the other two cannot.

Moisture meters then map the spread, which matters for the drying scope more than for the detection. A single damp reading is not a leak location. The pattern of readings across a floor is what tells you whether water arrives from a point source under the screed or wicks in from a wall. The equipment confirms a hypothesis, it does not replace one.

What the policy calls trace and access is what the trade calls leak detection and repair, and the two halves are usually priced and carried out as separate stages rather than as one job.

Some of the easiest traces end at the airing cupboard, because a hot water cylinder leaking slowly can travel a long way through a floor before it shows on a ceiling below.

What a trace and access report needs to contain

A report that supports a claim establishes four things: that there is a genuine escape of water, where it is, what caused it, and that the access proposed is the minimum needed to reach it. A report saying a leak was found and a floor needs lifting gives a handler nothing to accept and every reason to ask for more.

Cause matters most, because cause decides whether the event is insured at all. A split at a compression joint, a failed push fit connector, a corroded section under screed, a perished flexible tap connector: those are sudden failures and they read as insured events. Phrases like general wear or longstanding deterioration invite a decline, so the report should say what failed and how.

Photographs carry the document. Wide shots establishing the room, close shots of the damage, thermal images with the scale visible, moisture readings with the meter in shot, and an image of the failed component once exposed. A report with no image of the failure asks the handler to take it on trust.

The access methodology should read as a justification rather than a price. If screed has to come out, say why that route was chosen over any less destructive option and what was done to limit the area. That paragraph is often the difference between reinstatement being paid in full and being argued down.

  • The detection methods used and what each one showed
  • The leak location and the component that failed
  • A cause of failure in plain terms, not a vague deterioration phrase
  • Dated photographs, including the failed component once exposed
  • The access route, why it is the minimum, and the reinstatement scope
  • Detection, access, repair and reinstatement costed separately

Keep the failed section of pipe or fitting. When a claim is questioned, that component is the evidence separating a sudden failure from gradual deterioration, and a photograph of it in situ before removal beats any description.

Do you have to tell the insurer before the work starts?

Tell them early, and certainly before any significant detection, opening up or drying work is commissioned. Most policies require notification, many reserve the right to appoint their own contractor or approve yours, and work carried out without telling them is the easiest thing in the world for a handler to query afterwards.

Emergency work to stop an active escape is the exception and should never wait on a phone call. Isolating the supply and stopping water arriving is work any policy expects of you, and it is separate from the investigation that follows. Keep that invoice and the engineer notes.

In a let property the policy question arrives alongside a second one about landlord or tenant liability, and the two are answered by different documents entirely.

  • Stop the escape immediately, then notify, then investigate
  • Ask whether the insurer wants to appoint their own detection contractor
  • Do not create access before the leak has been located and reported
  • Keep every invoice, note and photograph from the first visit onwards

Why hidden leaks are harder to find in London housing stock

The building stock here is why the access element of a claim so often dwarfs the repair. Victorian conversions have had pipework rerouted through several refurbishments, so a run disappears into a wall on one floor and reappears somewhere unrelated with no record of where it went.

Purpose built blocks bring a different problem, because a pipe often serves more than one flat and the leak staining your ceiling may sit in a riser or a floor void belonging to the building rather than to any one flat. That changes who claims, which policy responds and who authorises the access, and it slows everything while a freeholder, a managing agent and two insurers work out whose problem it is.

New builds with liquid screed over underfloor heating are the most expensive to open up, because the screed is thick, continuous and full of pipework you must not damage while breaking it out. Hard water across the supply area adds to the failure rate over time, and the failures it produces tend to be at connections rather than mid pipe. That narrows where to look, and a scaled and split fitting is a describable, sudden failure worth naming plainly in a report.

Why a trace and access claim gets pushed back

Most often because the report establishes no cause. A handler reading that moisture was detected and a floor requires lifting has nothing to work with. A handler reading that a compression joint on a fifteen millimetre copper hot feed failed at the olive, located under screed at a stated position, confirmed by thermal imaging and tracer gas, with photographs, has a decision they can make.

The second reason is gradual damage. Policies exclude damage that develops over a long period, and a leak weeping for a year leaves evidence of it in staining, corrosion and the state of the surrounding timber. That is a reason to report a suspected leak early. Unexplained damp, a heating system needing topping up more often than it used to, a warm patch on a floor, or a water bill climbing without explanation are worth investigating while the answer is still a sudden failure.

The third is scope, where the access route is wider than the leak needs or reinstatement is specified across a whole floor for a failure in one corner. Sometimes the whole floor genuinely is the only sensible reinstatement, particularly where a finish cannot be matched, but that argument belongs in the report rather than being assumed. The fourth is simply the limit: nothing was refused, the cover ran out.

Claims in blocks also stall on ownership, and who is responsible for a leak in a leasehold flat is decided by the lease rather than by the policy, which is a separate argument running alongside this one.

Is a leaking shower tray or a failed seal covered?
Generally not. Escape of water usually means water escaping from a pipe, tank, cylinder or fixed appliance, and water passing through failed grout or a perished seal over a long period is treated as maintenance, with the damage excluded alongside it. A sudden failure of a flexible connector feeding the shower is a different matter and normally does qualify.
Can I lift the floor myself to save money on the claim?
It is a false economy and it weakens the claim. Once access has been created, the handler is asked to accept a description of a floor nobody independent ever saw and your account of why that route was necessary. You also risk widening the damage and cutting into pipework or heating loops you could not see. Get the detection done and reported first, then open up.
How long does it take to trace a hidden leak?
